Qualifications: Qualifications: High school diploma or GED equivalency is required, and 2+ years' experience in legal assistance; or Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work of a Legal Assistant. Knowledge of: Requires extensive and exceptional knowledge of and experience in criminal justice proceedings. Proficient knowledge of secretarial practices, budgets, legal terminology, grammar, spelling, composition, pleading/document formats, and inventory and purchasing. A working knowledge of the Idaho Court system, departmental risk management/personnel policies and procedures, Windows based spreadsheets desirable. Advanced knowledge in the use of office equipment. Ability to: Must be capable of performing those services generally attributed to legal assistants or paralegals. Excellent typing (50 wpm), organizational, and computer skills. Communicate effectively both orally and in writing with the public, peers, and other City employees. Demonstrate effective customer service and interpersonal skills. Follow written and oral instruction. Evaluate and analyze customer needs to provide exceptional customer service. Learn Department functions thoroughly to provide general information and explain detailed Department processes and procedures. Prepare and maintain records, documents, financial accounts, and related reports. Operate standard office equipment and a personal computer including program applications appropriate to assigned duties. Establish and maintain effective working relationships with co-workers, other City employees, supervisors and managers, vendors, and the general public. Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines. Perform time management, organizational, and scheduling functions, meet deadlines, and set task priorities. Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner. Use logical and creative thought processes to develop reasonable solutions according to written specifications and/or oral instructions. Job Description:
Legal Assistant
Duties: Perform a variety of complex and unique legal assistance that requires proficient and responsible application of specialized or technical knowledge and experience. Works under the direction of the City Attorney and City Prosecutor. Coordinates any reception or secretarial staff services assigned to the City Attorney s office. Class are performed in an office environment. Provide confidential and professional legal assistance to the City Attorney and Prosecutor. Provide coordination of, guidance for, and assistance with the various legal service functions of the City Attorney s office. This will include the coordination of any attorney staff and clerical staff at the central location for civil representation of the City, criminal prosecution, and any other function performed by the City Attorney s office. Review with the City Attorney the work requirements, documents, data, and other information generated in or received by the office of the City Attorney. Consult with and assist all of the City Attorney s staff or other specialized City personnel to establish procedures and policies which shall be uniform within the City Attorney s office. Prepare technical, complicated briefs, judgments, motions, orders, notices, petitions, criminal complaints, warrants, summons, failures to appear, orders to show cause, and other miscellaneous pleadings as required on all criminal files. Prepare correspondence, reports, documents, memos, and other material of an often confidential nature from dictation, instructions, notes, or personal knowledge. Schedule court hearings and appointments for the City Attorney and/or others to whom assigned as required. Research and respond to requests for discovery in a timely manner. Prepare and process subpoenas. Respond to requests from attorney or use own initiative to compile all necessary paperwork from department heads, city staff, law enforcement, courts, other states, counties, cities, etc., to prepare files for the City Attorney. Diplomatically answer, screen, and route telephone calls including public complaints as required. Competently handle requests from the community including all law enforcement agencies, judges, defendants, attorneys and the public. Assist in training any clerical staff that may be assigned to the City Attorney s office. Coordinate all loose-leaf materials in the law library. Assist in developing, implementing, and maintaining secretarial routine, office procedures, forms, and files as authorized. Perform risk management functions, maintain databases of claims and city assets, communicate with insurance agents and representatives, process civil claims, and other duties as directed pertaining to insurance and risk management issues. Prepare reports and memoranda related to civil claims. Take minutes at meetings when required. Review documents for correct format, spelling, punctuation and grammar; provide additional review and input when requested. Order supplies, and make reservations and travel arrangements as directed. Prepare invoices for payment and assist with annual budget as requested. Performs all work duties and activities in accordance with City policies, procedures, and safety practices. Assists other staff and departments with assignments and duties as necessary. Performs other related duties as required. Other duties shall include basic research, independent drafting of pleadings, ordinances, resolutions, contracts, subpoenas duces tecum.
