Job Description:
Probate and Trust Admin Paralegal
The candidate will prepare and file inventories and accountings; draft correspondence, real estate deeds, business transfer documents, certificates of trust, pleadings pertaining to estate and trust administration, and all other documents related to probate and trust administration matters; assist clients with trust funding issues and drafts funding transfer documents as necessary under supervision of an attorney; responsible for revising and maintain Firm templates; work closely with Estate Department Attorney, Commissioners of Accounts and their auditors and court clerks as needed; monitor suspense dates; respond to general client inquiries regarding non-legal matters and serves as a liaison between client and attorney; maintain assigned client files (to include filing); performs legal research as assigned. Handle estate/trust administration files from the initial opening of the file to close of Firm representation. Draft documents necessary for the administration of probate estate from the initial qualification of executor/administrator through the filing of final accounting. Obtain tax ID numbers; prepare certificates of trust and assignments of business and other interests; draft deeds of distribution; and draft pleadings pertaining to court involvement in estate and/or trust matters. Read and analyze will and trust documents to ensure administration properly follows instructions in documents. Work closely with Commissioner of Accounts auditors in all jurisdictions and maintain good/positive relationships with auditors and court clerks. Keep track of time and enter time in the billing system daily. Correspond with clients via mail, telephone, and email and ensures prompt and courteous responses to client questions. Open and maintain assigned files (to include daily filing for assigned files). Perform computer documents and e-mail clean-up. Maintain all estate/trust administration and funding forms and templates. Monitor suspense dates and regularly meet with an attorney to review pending issues and the status of administration files. Maintains PM system for tracking open estates and trusts.
